Ingage Suite Billing: Managing User Licenses and Billing

The new Ingage Suite billing experience lets you manage user licenses and billing directly from Ingage.

Written by Jim Rutherford

Overview

The new Ingage Suite billing experience lets you manage user licenses and billing directly from Ingage. When you add users in Manage Users, Ingage shows you the cost before you confirm: what is due today and what your recurring bill will be going forward. You can also view your plan, update payment methods and download past invoices from Company > Billing Settings.

Why Use the New Billing Experience?

See your license usage at a glance

Manage > Users now shows your total licenses, how many are in use, how many are tied to pending invites and how many are unused. You know right away whether you have room to add someone before you buy anything.

Know the cost before you confirm

When you add users, Ingage calculates the amount due today and your new recurring bill. If an unused license covers the new user, Ingage tells you nothing is due and your bill does not change.

Handle billing yourself

You can update payment methods, review your plan and renewal date, and download every invoice without contacting Ingage. For example, if your company card changes, you can add the new card and edit your primary payment method in a few clicks.

Review Your License Totals

  1. Go to Manage > Users.

  2. Review the license cards at the top of the page:

    • Total licenses: the number of licenses on your contract.

    • In use: licenses assigned to active users.

    • Pending: licenses assigned to users who have not yet accepted their invite.

    • Unused: licenses you have paid for that are not assigned to anyone. You can fill these at no extra cost.

Add Users

  1. In Manage > Users, click Add Users.

  2. Enter the new user's email address and choose their role (for example, Viewer).

  3. Click Add to List. Repeat for each user you want to add.

  4. Review the summary before you confirm:

    • Users being added: the number of users in your list.

    • Covered by available licenses: how many new users fill your unused licenses.

    • New licenses needed: how many licenses you need to buy.

    • Due today: the pro-rated charge for the new licenses. If unused licenses cover everyone, this is $0.

    • New recurring bill: what your monthly or annual bill will be going forward.

  5. Click Purchase and Add to confirm. If new licenses are needed, only a billing admin can complete this step.

Ingage charges your primary payment method immediately for any new licenses and sends an invite to each new user. New users appear as Pending until they accept. To send an invite again, click Resend Invite next to the user.

Remove a User and Reuse the License

  1. In Manage Users, find the user you want to remove.

  2. Click Remove and confirm.

Removing a user does not reduce your license count. The license moves to Unused, and the next user you add fills it at no extra cost. For example, if you have 3 licenses with 3 in use and remove one user, you will see 3 total, 2 in use and 1 unused.

View Your Billing Summary

  1. Go to Company > Billing Settings. Only users with the Billing Admin role can access this page.

  2. Review the same license cards you see in Manage Users: total, in use, pending and unused.

  3. Review your plan details:

    • Plan and billing frequency: monthly or annual.

    • Next billing date: when your next charge occurs.

    • Bill breakdown: your Ingage Suite subscription plus your user licenses, with the total.

    • Contract renewal date: when your contract term ends and renews.

Your billing frequency and contract term can be different. For example, you can pay monthly on a contract that renews annually.

Manage Payment Methods and Billing History

  1. In Company > Billing Settings, click Manage Billing.

  2. Review your plan and account information, including the account owner.

  3. Under Payment Methods, choose an action:

    • Add a new payment method.

    • Edit an existing payment method, including your primary.

    • Remove a payment method that is not your primary.

  4. Under Billing History, review your invoices:

    • Your initial sign-up invoice.

    • A separate invoice for each license purchase.

    • Each recurring invoice as it is issued.

  5. Open any invoice to view or download it.

Key Details

  • Only Billing Admins can take actions that affect billing: adding users beyond your license count, and anything in Company and Billing Settings.

  • New licenses are charged immediately to your primary payment method when you click Purchase and Add.

  • Each license purchase creates its own invoice in Billing History.

  • Pending invites use a license. Pending users count toward your total until they accept or you remove them.

  • Removing a user frees the license but does not remove it from your contract or lower your bill.

  • You cannot remove your primary payment method. Edit it, or add a new method first.

  • Your billing frequency (monthly or annual) is separate from your contract renewal date.

  • For billing questions or contract changes, contact Ingage Support.

FAQ

Will I be charged when I add a user?

Only if you need a new license. If you have an unused license, the new user fills it and nothing is due today. The summary screen shows the exact pro-rated amount before you confirm.

When am I charged for new licenses?

Immediately, when you click Purchase and Add. The charge goes to your primary payment method.

Does removing a user lower my bill?

No. The license stays on your contract as an unused license. You can assign it to another user at no extra cost.

Does a pending invite use a license?

Yes. A pending user holds a license until they accept the invite or you remove them.

What if a user didn't get their invite?

In Manage Users, click Resend Invite next to the pending user.

Why is my next billing date different from my contract renewal date?

Your billing frequency and contract term are separate. If you pay monthly on an annual contract, you are billed each month, and the contract renews once a year.

Can I remove my primary payment method?

No. You can edit it, or add a new payment method. You cannot leave your account without a primary payment method.

Where do I find my invoices?

Go to Company > Billing Settings, click Manage Billing and open Billing History. Every sign-up, license purchase and recurring charge has its own invoice.

Who can manage billing?

Only users with the Billing Admin role. They can add users beyond your current license count and use everything in Company > Billing Settings. Other users can add new users only when unused licenses cover them.
