Managing Your Billing

View your subscription details, update your payment method, add or remove licenses, and cancel or resume your Ingage subscription

Ingage provides a centralized Billing section in the Teams Console where you can view your subscription details, update your payment method, manage your license count, and cancel or resume your subscription. This article walks through each of these tasks.

Billing management is available to Billing Admins and Company Admins. If you don't see the Billing option under Manage, contact your account Admin to verify your role.

Accessing the Billing Dashboard

  1. Log in to the Teams Console at teams.ingage.io

  2. In the left sidebar, click Manage

  3. Select Company

  4. Click the Billing tab

The Billing dashboard displays an overview of your subscription, including:

  • Total Licenses — The number of user licenses on your account

  • In Use — How many licenses are currently assigned to active users

  • Pending Invites — Licenses assigned to users who have not yet activated their accounts

  • Unused Licenses — Available licenses not currently assigned to anyone

  • Monthly Cost per User — Your per-user rate

  • Estimated Next Bill Total — The projected amount for your next billing cycle

  • Next Bill Date — When your next payment is due

Updating Your Credit Card

If you need to update your payment method — for example, if a card has expired or you'd like to switch to a different card:

  1. From the Billing dashboard, click the Update button next to your payment information

  2. This will open the payment form in Maxio, Ingage's payment provider

  3. Enter your updated credit card details

  4. Save the changes — your new card will be used for future billing cycles

Adding Licenses

When you need to add more users to your account, you can add licenses directly from the Teams Console:

  1. In the left sidebar, click Manage and select Users

  2. Click Add Users in the upper right corner

  3. Enter the new user's details and add them to the list

  4. If you're adding more users than your current license count allows, you'll see a billing summary showing the number of new licenses, the price per user, and your new estimated total

  5. Confirm to add the users — the additional licenses will be applied to your account and reflected in your next bill

Removing Licenses

To reduce your license count, remove the users who no longer need access:

  1. Navigate to Manage > Users in the Teams Console

  2. Locate the user you'd like to remove

  3. Click the arrow button to the right of the user

  4. Click the red Remove button, then confirm by clicking Remove User

How license removal works: You don't need to manually remove licenses from your billing. Any license that is unassigned 30 days before your subscription renewal date will be automatically removed from your account for the next billing year. This means unused licenses are cleaned up at renewal without any action required on your part.

Canceling Your Subscription

If you need to cancel your Ingage subscription:

  1. From the Billing dashboard (Manage > Company > Billing), click Cancel Subscription

  2. Select a reason for canceling (e.g., technical issues)

  3. Confirm your decision when prompted

Your subscription will be canceled at the end of your current billing term — not immediately. For example, if you're on an annual subscription and you cancel today, your account will remain active until your renewal date, and the cancellation will take effect at that point.

Important: Even if you pay monthly, your subscription may still be on an annual term. Cancellation takes effect at the end of the annual term, not at the end of the current month.

Resuming a Canceled Subscription

If you've canceled but change your mind, you can resume your subscription before the cancellation takes effect:

  1. Return to the Billing dashboard (Manage > Company > Billing)

  2. You'll see an option to Resume Subscription

  3. Click Resume to reactivate your subscription

  4. Your account will continue as normal, and your next bill date will be displayed

Things to Know

  • Billing management requires a Billing Admin or Company Admin role

  • Payment processing is handled by Maxio — when you update your credit card, you'll be redirected to Maxio's secure payment form

  • Unused licenses are automatically removed at renewal if they've been unassigned for at least 30 days before the renewal date

  • Cancellation takes effect at the end of your subscription term, not immediately — your team retains access until then

  • A canceled subscription can be resumed at any time before the cancellation date takes effect
